What this system is
WeLoveTime Operations is a private, internal system used by WeLoveTime LLC to run its home-services business: enquiries, quotes, scheduling, the work itself, and what it cost. It is not a public service and there is no way to sign up for it. Accounts are created by the company for its own staff and for authorised service partners.
Whose information is in it
Three groups, and the system treats them differently.
- Customers. People who ask WeLoveTime for work, whether directly or through a lead platform such as Thumbtack.
- Staff and partners. Employees, technicians and authorised partner businesses who use the system.
- Connected accounts. Business profiles on platforms such as Thumbtack whose owner has chosen to connect them.
What is stored about a customer
Only what is needed to quote the work, do it, and be paid for it: name, telephone number, email address where given, the address or postcode of the job, what the customer asked for and any messages they sent, the price agreed, what was done, and the payments received. Reviews a customer chooses to leave in public are recorded with a link to where they were published.
Where an enquiry arrives through a platform, the platform’s own identifier for the conversation is stored so the same enquiry is not recorded twice, and the message as received is kept unchanged so that a mistake in reading it can be corrected rather than becoming the record.
What is not stored
There is no code in this system that collects or keeps payment card numbers, bank details, government identifiers, or platform passwords. Where a business owner connects a platform account, the connection is made through that platform’s own authorisation flow and only the resulting access token is held; the owner’s username and password are never seen by this system.
There is no advertising tracking, no third-party analytics, and no profiling of customers.
Who can see it
Access is by role, enforced in the database rather than by hiding buttons. An owner sees everything belonging to their own organisation. A manager sees enquiries, jobs, customers and money. A technician sees only the jobs they are assigned to, and neither payments nor anybody’s pay. A partner sees only their own business’s enquiries and jobs.
Every change to a customer, job, payment or price is recorded with who made it and when.
Messages sent to customers
The system can send a text message to a customer about a job they booked — for example, that the technician is on the way. It is sent only about that customer’s own job, and never for marketing. Replying STOP stops all further messages immediately, including any already waiting to be sent; replying STARTallows them again.
Where it is kept
Data is held in a managed PostgreSQL database and on a server operated for WeLoveTime LLC, in the United States. Access requires an individual account. Messaging is delivered through Telegram, for staff, and through a licensed telecommunications provider, for text messages to customers.
Where an artificial-intelligence service is used — to draft a reply for a person to review, to read an enquiry, or to translate a customer’s message for a manager — the relevant text is sent to that provider for processing. Nothing it produces is sent to a customer without a person reading it first.
How long it is kept
Customer and job records are kept for as long as the business relationship and the applicable tax and accounting obligations require. Records of messages we sent are kept so that we can show what a customer was told and when. A customer may ask for their information to be corrected or deleted, and anything not required for tax or legal reasons will be removed.
